Client Case Study - Virtual Assistant Support for Tresacare
THE CHALLENGE
Running a young organisation with a team of seven meant there were endless moving parts. Invoicing, expenses, policies, documents, finances – all important, but overwhelming. Tasks that drained energy, distracted from strategy and growth because it’s hard to spin all plates at once.
“I’ve got ADHD and honestly, things like expenses were a nightmare. Invoicing too – I’d forget to do it. And that has a massive knock-on effect. I felt like a headless chicken, constantly stuck in the weeds instead of leading.” Elizabeth said.
Tresacare needed trusted, consistent support however, it was letting go of those important tasks whilst also believing the value in having a virtual assistant was worth it. At Alchemy we understand it’s a big leap to make, especially in the start-up phase, yet Liz was so glad she took that leap...
THE IMPACT
Through word-of-mouth connections, Liz was recommended to Sarah Damani and her wonderful team of assistants. Ably supported by Sarah, Liz was assigned to the calm, confident and capable Claire.
Claire initially set up and automated the financial administration in a way that worked for Liz and aligned to her expectation and current operational needs, taking on responsibility for invoicing, tracking expenses, and a host of other everyday admin tasks that freed up Liz as the founder to focus on growing the business.
“The consistency and efficiency are incredible. I used to dread expenses – now Clare just handles it. Invoicing is sorted, income comes in every month without me needing to think about it. It’s all automated and it’s such a relief.”
The results? Real growth. The bank balance keeps rising, processes are streamlined, policies and documents are in place – and most importantly, Tresacare can put more energy into its mission.
“Since working with Alchemy VA we’ve helped over 900 people in total, 100 into jobs, and three people have even told us we saved their lives. That’s the impact – not just on our business but on our community.”
Claire also supports from an operational perspective too - they’ve even given her the role of ‘Head of Operations & Programme Coordination’ where she manages the Wellbeing Gym initiative which supports sessions over Zoom with their administration, monthly calendars and appropriate Canva documentation.
She has also supported the Wellbeing Programme: 8-Week Journey to Resilience which includes liaising with each sessions' host, programming the sessions, tracking attendance, distributing session slides and recordings with the care workers, supporting host and care workers for the sessions, and then coordinating the graduation of those participants who have fulfilled all criteria of the programme. She also tracks data from sessions including polls launched to support creating a quarterly impact report for Liz and the team to analyse.
THE RECOMMENDATION
“Clare is honestly my second brain, my right hand. I can simplify my thinking and just ask her to do anything. She’s a dream to work with – so efficient and such a perfect fit for our team.
If you’re considering an Alchemy Virtual Assistant, I’d say it’s absolutely worth it.
The quality, the consistency, the freedom it gives you – it’s been a total game changer. I can step back, think strategically, and actually lead.”
